We are strengthening our Customer Support Team in Italy and are looking for a Customer Support Specialist – Order Fulfillment & Logistics to join our 2-person team managing customer-facing logistics and documentation. This is a key role responsible for ensuring seamless communication and execution from the moment a customer sends a purchase order to the successful delivery of goods — ideal for a service-minded, detail-oriented professional with a logistics flair and a passion for operational coordination.

What You'll Be Doing

  • Act as the first point of contact for customer purchase orders (POs), ensuring accurate and timely order entry and acknowledgement.
  • Serve as the primary contact for providing customers with delivery updates and issuing basic quotations when needed.
  • Send preliminary order confirmations (OC) to internal teams and ensure order details are shared clearly and proactively.
  • Manage the end-to-end order fulfillment process, from PO reception to final shipment.
  • Coordinate shipment planning and execution with carriers and freight partners, ensuring on-time delivery.
  • Prepare and handle all shipping documentation, including customs paperwork for international deliveries.
  • Ensure streamlined communication between all stakeholders (customers, internal departments, carriers) to avoid delays and misunderstandings.
  • Monitor and resolve issues related to deliveries, shipment delays, or customer complaints with a proactive approach.
  • Collaborate cross-functionally with the warehouse, logistics, sales, and finance teams to streamline customer service operations.
  • Use ERP and CRM systems to manage workflows and keep detailed, accurate records.

What We're Looking For

  • You are organized, customer-oriented, and hands-on — someone who enjoys owning processes from start to finish, thrives in dynamic environments, and delivers reliable results
  • You bring at least 3 years of proven experience in customer support, logistics coordination, or supply chain operations, ideally in an industrial or manufacturing setting
  • You have strong interpersonal and problem-solving skills
  • You pay excellent attention to detail and can manage multiple priorities under pressure
  • You demonstrate strong organizational skills and a proactive, self-driven mindset
  • You are fluent in English and Italian at a professional level
  • You are proficient in Microsoft Office, and experience with Microsoft Dynamics 365 (D365) or a similar ERP system is a plus

Nice to have:

  • Additional languages such as German and/or French
  • Knowledge of international shipping procedures, customs documentation, and Incoterms
  • Prior experience in customer logistics or post-order customer service roles
